Map your team onboarding as a flowchart

Onboarding is a process like any other — it just usually lives in someone's head. Draw it once and every new hire gets the same clear path, and every manager stops repeating themselves.

Use a swimlane, one lane per team

A swimlane is a flowchart split into rows, so it's perfect here: give IT, HR, the hiring manager and the new hire each a lane. Every task sits in the lane of whoever owns it, and the arrows crossing lanes are exactly the hand-offs that go wrong in real life.
