How to Create a Mind Map: Examples, Structure and Best Practices

To create a mind map, put the subject in the centre, branch the four to seven biggest groupings off it, then hang the details under those. Keep each branch to a noun or short phrase rather than a sentence, and stop at about three levels deep — past that a map stops being scannable, which was the only reason to draw one.

When a mind map is the right choice

A mind map is for getting everything out and seeing how it groups. It has no order, no decisions and no time — which makes it excellent early and poor late. Two situations where it clearly fits:

  • Planning. You know a project has many moving parts but not yet how they cluster. A map lets you dump them and discover the grouping afterwards.
  • Learning and revision. One subject, its major themes, the facts under each. The radial shape mirrors how people recall — by association from a centre, not down a list.

Once the work has an order or a deadline, move on. A sequence of steps wants a flowchart; dated work wants a timeline. A mind map that has acquired arrows between branches has outgrown itself — that is a concept map.

A mind map is a thinking tool that sometimes survives as a document. Do not start by trying to make it a document.

The parts

  • Central topic. The single subject, in the middle. One map, one subject.
  • Main branches. The major groupings. Four to seven is the useful range — fewer and you have not decomposed, more and the map has no structure.
  • Sub-branches. Detail hanging off a main branch, usually one or two levels.
  • Colour. Carried per branch, so a whole limb reads as one group at a glance.
  • Shape. The topic's outline — Diagramium offers rounded box, ellipse, plain underline, cloud and hexagon. Worth using sparingly, to mark a branch that is different in kind.

How to create a mind map, step by step

  1. Write the subject in the centre. Two or three words. If it needs a sentence, it is a question, not a subject.
  2. Dump everything, unsorted. Do not organise yet. Getting it out and grouping it are different jobs and doing them together produces a thin map.
  3. Find the groupings. Read the dump and look for the four to seven clusters it naturally falls into. Those become main branches.
  4. Name each branch with a noun. "Budget", not "we need to work out the budget". Short labels are what make a map readable at a glance.
  5. Hang the details. Each item from the dump goes under one branch. Items that fit two branches are usually two different things wearing one name.
  6. Stop at three levels. If a sub-branch needs its own children, it probably deserves a map of its own.
  7. Look at what is thin. A branch with one child is either not a real grouping, or the part you have not thought about yet. Both are worth knowing.

Structure: the rules that keep a map readable

A mind map fails by growing, not by being wrong. Three structural rules do most of the work of keeping one legible past twenty branches.

One idea per branch

A branch label is a noun or short noun phrase — Hottest planet, Cost of retention — not a sentence. The moment a branch reads as a clause it is carrying two ideas that want to be two branches, and the map's shape stops matching its content.

A depth limit, chosen in advance

Decide the maximum depth before you start, and hold it. Two levels below the root suits a learning map; three is the practical ceiling. Depth destroys legibility fastest, because every extra level multiplies the branches competing for the same page.

Roughly balanced first-level branches

Four to eight branches off the root, each covering a comparable amount. One branch with fourteen children beside three with two apiece means the root is wrong: the heavy branch is usually the real subject.

A worked example: the solar system

The map at the top of this page is 25 nodes and stays readable, and nothing about it is clever.

The root is the subject. Eight first-level branches — one per planet, in orbital order, so the sequence itself carries information. Every planet then has exactly two children, one fact each: Mercury is closest to the Sun with an 88-day year; Venus is hottest and spins backwards; Neptune is windiest and takes 165 years to orbit.

That flatness is also what makes it recallable — a learner can picture the whole map, which is the mechanism the technique relies on. The uniform depth of two is the trick: a reader can scan the eight branches for the planet they want, knowing there will be two facts there and not eleven. The same 25 nodes distributed unevenly — six facts about Jupiter, none about Uranus — would be the same information and much harder to use.

Worked examples you can open and edit

A planning map

The observability map is a planning map doing real work: three branches — logs, metrics, traces — each carrying what the signal is best at and its cost trap. The value is the comparison the layout forces. As three paragraphs, nobody notices that each option has a matching weakness; side by side, the trade-off is the first thing you see.

Writing a mind map from text

The Text editor tab holds the same map as an indented list, kept in sync with the canvas. For a first dump this is usually faster than clicking, because indentation is the only structure you need:

  • Indentation is the hierarchy — two spaces per level (a tab counts as two).
  • The first non-title line is the centre. Everything indented under it branches from there.
  • Tokens after a | style the topic: a hex colour such as #f59e0b, or a shape from rounded, ellipse, plain, cloud and hexagon.
  • title on its own line sets the document title; // starts a comment.

Text works for mind maps, org charts, sequence diagrams and sitemaps. Other editors are canvas-only and hide the tab.

Presenting and exporting

  • Present reveals the map a branch at a time. A mind map is the diagram type that most benefits from this — a finished map shown all at once is overwhelming in a way the same map built up in front of you is not.
  • Export PNG, SVG, PDF or plain text free without an account. The text export is the map as the indented list above, which pastes into notes. Animated SVG, GIF and video need a free account, not a subscription.
  • Embed a published map as an interactive player.

Best practices

  • Write the root last. Brainstorm the branches first, then name the thing they are all about. Naming the root first quietly constrains what you allow yourself to add.
  • Nouns, not sentences. If a label needs a verb, it is probably a step — and steps belong in a flowchart, not a map.
  • Prune before you present. The map that helped you think is rarely the one that helps someone else understand. Copy it and cut it back.
  • Let the order mean something. Orbital, chronological, priority — a reader who notices the ordering gets a second layer of information free.

Common mistakes

  • Sentences as branch labels. The map stops being scannable, which removes its only advantage over a list.
  • One giant branch. If one limb holds most of the content, it is the real subject and the map is aimed at the wrong centre.
  • Depth instead of breadth. Five levels deep is an outline. Use an outline.
  • Colouring individual topics. Colour the limb, so a group reads as a group. Per-topic colour is noise.
  • Arrows between branches. Mind maps have no cross-links. When you need them, you want a concept map, where every connection carries a labelled phrase.
  • Polishing too early. The dump is meant to look messy. Tidy after the grouping exists.

A note on terminology: a mind map and a concept map are different tools. A mind map radiates from one root with unlabelled hierarchical links; a concept map is a network whose links carry labelled phrases, so each connection reads as a proposition — the distinction Novak and Cañas set out in their theory of concept maps. If your links need verbs, you want a concept map.

In short

A mind map is a structure problem, not a drawing problem. One idea per branch, a depth limit chosen in advance, and four to eight balanced root branches keep a map readable long after an unstructured one has become a thicket. Build it to think, then prune a copy to explain.

Questions people actually ask

How many branches should a mind map have?

Four to seven main branches. Fewer suggests you have not decomposed the subject; more means the map has no top-level structure and everything competes for attention.

What is the difference between a mind map and a concept map?

A mind map is a strict tree radiating from one centre, and its lines mean only "belongs to". A concept map allows any concept to link to any other, and every link carries a phrase so the connection reads as a sentence.

Can I make a mind map from text?

Yes. The Text editor tab takes an indented list — two spaces per level — and stays in sync with the canvas, so you can type the dump and then rearrange by dragging.

Should I use colour?

Yes, per branch rather than per topic. A whole limb in one colour lets a reader take in the grouping without reading any labels, which is most of what makes a map fast.

How deep should it go?

About three levels. If a sub-branch has earned its own children, it is usually a subject in its own right and deserves a separate map.
